A missed appointment does not only cost you that half hour. It costs the whole chain: the empty slot, the customer who could have been there, the team’s time and, sometimes, a customer lost for good.
The good news: most no-shows have nothing to do with ill-intentioned people. They are forgetfulness. And forgetfulness is solved with a few simple automations.
1. Confirmation, right after booking
Most no-shows are decided at the moment of booking, because the person is not left with a clear feeling that something is set. A message or a short call right after booking significantly reduces the problem.
2. The reminder 24 hours before
The single most effective mechanism. A short call or message stating the date, time and address, with the option to reschedule in a second. The person no longer has to look anything up, they just confirm.
3. The reminder on the day itself
Two hours before, a short message. Not aggressive, not repetitive: one single, clear message. Those who forget are saved exactly here.
4. Rescheduling without friction
If the person cannot come, what matters is that they can say so immediately and receive another option. If rescheduling requires three phone calls and a discussion, people give up. If they answer a call and pick another date, the appointment is saved.
5. An agent that calls, not a robot that reads aloud
The difference between a robot reading a script and a voice agent is how it continues the conversation. A person can say “I can’t today, but Friday morning works” and the agent understands, proposes, confirms.
What happens in practice
- The agent calls, identifies itself as an AI system (required by law) and confirms the appointment.
- If the person accepts, the appointment is confirmed; if not, another time is proposed.
- You receive a summary: how many confirmed, how many rescheduled, who did not answer.
What we do NOT promise
We do not promise a fixed reduction percentage, because it depends from company to company: on how far ahead appointments are booked, on the customer type, on the city. What we do promise is consistent execution and honest reporting. You see the numbers at your company, in the first month.
If you want to see how such a call would sound for your company, request a demonstration. A colleague contacts you within 24 hours.
How you start
1. You tell us how many appointments you have per week and how confirmations are done now.
2. We choose the steps together (confirmation, reminder, rescheduling).
3. We test on your number, then go live on real appointments.
The simplest start is the 24-hour reminder. It is cheap, it shows results quickly and it changes nothing in the way you work.
